    City Meet Info: Heat Sheets, Warmup Times, and Lots More

    • Heat Sheets and warm up times are out and can be found on the 2023 CASL City Meet Info page of the league website. As always, times are subject to tweaks at the meet director's discretion.  Any official updates should be posted to the site above and we will try to re-communicate any urgent updates via SwimTopia alerts.
    • Crash area & what to bring:
      • We can begin setting up tomorrow afternoon starting at 4:00.
      • Our crash area is in our usual location, indicated on this map.
      • Please leave the corner nearest to the sidewalk & closest to the bridge to the pool area for the team tents / 10U staging areas.
      • While building our little tent city, please try to make efficient use of our available space while remembering that panicked swimmers will, at some point, need to sprint from the back of the area to the sidewalk for the event they're close to missing (so please consider leaving some kind of travel lanes through or around your area).
      • Bring healthy snacks, water, chairs, extra towels, an extra of each piece of swim gear and whatever else you need to make yourselves comfortable!  Goggles and caps are especially prone to breakage at the wrong moment.  We'll have some extra team caps available for $10, if needed.
    • Swimmers' Responsibilities:
      • City Meet is a bit different in that swimmers (& parents) are generally responsible for getting to events themselves and the meet space is large. The public address will make calls for events that will provide guidance, but swimmers & parents must listen for the event calls and report to their events on time. 10 & under relays will have a parent assigned for getting the relay team where they need to go (see below), but parents are responsible for getting their child to the relay parent at our team tent.
      • There will be a bullpen for 10 & unders on the diving well side of the pool. The kids should be brought to that bullpen area when their events are called and will be taken from there to their swims. Parents are not allowed to remain in the bullpen area.
      • The coaches like to speak with the kids before and after each swim, so please send them in time to see their coach where possible. If your swimmer is 10 & under, just bring them by the coaches' desk on your way to the bullpen.
      • Mark your 10U Swimmers: Please be sure to put your child’s first and last name and age (prior to June 1) on their right shoulder. This will help the volunteers in the bullpen get them to their races and the timers confirm who's in their lane.
    • Relays:
      • The heat sheet doesn't have swimmers listed in the relays. So, in order to know which relays your swimmer is in, reference this spreadsheet throughout the meet.
      • 10 & under relays have a parent assigned to organize the group. This amazing and meet-critical parent will collect the kids in their relay and get them to the correct heat/lane. Our relay parents will be looking for their team members prior to or immediately after warm ups. Parents, please help our relay parents by figuring out which parent is assigned to your swimmer's relay (in the relay info sheet linked above) and helping them identify your swimmer during that time. There's a lot going on, so going at this from both sides will ensure nobody slips through the cracks.
    • Finals: Most individual and all relay events at this meet have preliminary heats and finals. The top 16 swimmers (plus 2 alternates) in individual events and top 8 relay teams for each group make finals. If your swimmer makes a final in an individual event or relay, PLEASE CHECK WITH A COACH to indicate if they intend to swim. Failure to show up for a final without scratching from that final will result in a $25 penalty for the team.
    • Volunteers: We still need a few more volunteers for timing. Please sign up to help if you're willing and able. Thanks to everyone who has offered help already!
    • Results: Don't forget to download the Meet Mobile smartphone app to get meet results. The meet hasn't been pushed to the app as of this email, but you can search for the "Caulkins" part of "Bill Caulkins City Meet" within the app and it should get you there by meet day. Paper results will also be posted on the wall outside of the pool office.
    • Don’t forget to keep your swimmers hydrated tomorrow and throughout the meet. It's going to be hot and muggy and they'll be working hard. Keep them topped off for both safety and performance!  We will have a couple of coolers in the team tents with bottled waters available for swimmers during the meet, too.
    • Finally, with our summer weather being what it is, there is always the chance that finals will be cancelled due to thunderstorms. When that happens, prelim times are used for final placings. Be sure your swimmer swims prelims as if they're finals -- because they just might be!
